High-pressure volatility forces agents to prioritize immediate closures, causing valuable long-term opportunities to slip through the cracks of operational chaos.

The Cost of Chaos

Real estate agents manage hundreds of dynamic leads, but forced to work manually, they faced a critical bottleneck: The Input Barrier. Every new lead had to be manually typed into the system, causing delays and data loss. Furthermore, the Upgrader dilemma (clients buying & selling simultaneously) created severe data silos. Existing tools couldn't sync these dependent timelines, leading to missed matches and lost revenue.

Usability testing exposed critical friction points in the initial design, specifically around context switching and manual data entry - forcing a strategic pivot in the core architecture.

Field Intelligence: The Iterative Process


01: Context Blindness

Our initial design separated ״Client Notes״ from ״Search Preferences״ into different tabs. Testing revealed agents were frustrated by constant context switching, needing to see notes while filtering properties. We redesigned the layout to a split-view, keeping notes visible alongside the active workspace.


02: Navigation Disorientation

The ״Add Property״ flow was originally built using Tabs. Agents felt lost in the process, unsure of mandatory fields, leading to high drop-off rates. We pivoted to a linear Accordion Structure, creating a guided flow that ensures data completion.


03: The Manual Bottleneck

The system relied on agents manually inputting new leads, but they simply didn't have the time, causing the database to stagnate. We shifted the workload to the end-user via an AI-driven self-registration flow (detailed in the Solution & Innovation section).

The tab-based structure fragmented the workflow, causing users to get lost in the form and forcing them to toggle between the client list and crucial notes, leading to context blindness

We pivoted to a smart accordion flow that guides data entry linearly while exposing notes alongside the client list, ensuring users have full context without switching views

The Solution & Innovation

We replaced the fragmented tools with a holistic AI-driven ecosystem. By fusing a dynamic Persona-Based architecture with a proactive AI agent, we created a workflow that manages the entire deal lifecycle - from data entry to closing.

A Unified, AI-Powered Ecosystem


To solve the complexity, we designed a unified Client Detail Page that toggles seamlessly between "Buyer" and "Seller" modes, allowing agents to manage complex "Upgrader" clients in one context.


Strategic UX & AI Integration:


  • "Under the Radar"

    A status for off-market assets that turns dead-end listings into exclusive "pocket opportunities", boosting retention.


  • Smart Accordions

    A guided linear flow for complex data entry ensures completion and reduces cognitive load.


  • Bulk-Action Workflow

    Addressing scroll fatigue, we designed a streamlined interface for selecting and sharing multiple properties via WhatsApp in a single share.


  • "Angi" - The AI Partner

    To eliminate the Manual Bottleneck, Angi engages end-clients via WhatsApp to auto-populate search preferences (Self-Registration) and predicts legal risks before they occur.

Results & Impact

The strategic redesign transformed the platform from a passive tool into a growth engine, driving immediate viral adoption and operational efficiency.
